Entries: I am attaching entries, but they are subject to change if coaches need to make adjustments. Heat sheets will be emailed as soon as they are available.
Volunteers: Please check in with me when you arrive to get your name tag. Volunteers are essential to running a successful swim meet. If you have signed up for a volunteer position, please ensure you are present and complete the job you signed up for. Your commitment helps ensure a smooth and enjoyable experience for all our swimmers. Thank you for fulfilling your commitment.
Emergency Situations: If there is an emergency and your swimmer(s) cannot attend (or you as a volunteer), please email Coach Helen ([email protected]) AND me ([email protected]) as soon as possible.
Important information from Fairview:
Clerk of Course: The Clerk of Course is located between the two team areas. It is marked on our map here. We have a PA system that we will use to call all swimmers to the clerk at the appropriate time. The PA system speakers are pointed to the two team areas, so swimmers will best be able to hear their events called if they are in the team area as it gets close to their event time.
Parking: Reserved parking for the referee, head coaches, computer operators, and meet directors is available in the grassy area adjacent to our sand volleyball court, on your left after you enter our facility. Handicapped parking is also available in this area, as these spaces are close to your team area and do not require users to walk up and down stairs.
Ample parking for all others will be available in the paved parking lot and in the grassy area to the right of our entrance. Here is a map that might be helpful. The lot is reserved for your team, and you may park in any spot even if it is marked as "reserved".
Pool Facilities: Fairview is a 6 lane, 25 meter pool with plenty of open space for families in the team areas. We have reserved the grassy area alongside Belvedere Blvd. for your team (see map). You are welcome to bring canopy tents to set up in the grass, especially as there is not a lot of shade in this area early in the meet. There will be tables with umbrellas on the deck in front of your team area that you can use for coaches, volunteer check in, or whatever else you might need them for. Note that the wooden deck next to the clerk is not part of your team area, but is instead used by the clerk as overflow for swimmers, so we appreciate that area being kept clear.
Additionally, we will have reserved seating along the side of our pool closest to the snack bar. We welcome spectators that cannot stand for the length of the meet to use this seating. For everyone else, the side of the pool in front of your team area is available for watch-and-go spectating and cheering. We ask that spectators stay behind the yellow chain and that swimmers stay out of the marked off area until they are directed in by the clerk. Please also ask that your swimmers and spectators avoid congregating around the entrances/exits to the pool as these are heavily trafficked.
Along with the main pool, Fairview has a toddler pool and baby pool. The baby pool is fenced off and the toddler pool will be blocked off with lounge chairs and other pool furniture. These pools are not guarded during the meet and we ask families and swimmers to not cross the barriers around these pools. The diving well is also unguarded during the meet and is off-limits to swimmers from both teams.
Food & Water: The Sombreros food truck will be at Fairview from 5:30 - 7:30 serving burritos, tacos, and quesadillas in addition to bottled water, soda, and lemonade. The Kona Ice truck will also be there starting at 5 (end time is TBD but I'll let you know). In addition to these options, we will have a concessions table by our snack bar that will have cheese and pepperoni pizza, Chick Fil A sandwiches, candy, and a variety of beverages.
We have a filtered water station near our snack bar that can be used by all families and swimmers to refill water bottles.
Thunder/Lightning Policy: It's summer in Virginia, so afternoon/evening thunderstorms during the meet are always a possibility. Our Thunder/Lightning Policy can be found here. In the event that lightning is observed, the deck, including both team areas, will need to be cleared and families will need to wait in their cars until 30 minutes after the last lightning strike is observed.
We are excited for MEET DAY! Please remind your swimmers to display great sportsmanship on the deck and in the pool. Go Hammerheads!!
Warmly,
Skye Durrer
